What to look for in a billing company?

When selecting a billing company for your ABA Therapy practice, ensure they have extensive experience with your state’s payers, including familiarity with credentialing processes, service-specific modifiers, and common denial reasons. Prioritize transparent communication, clear turnaround times for inquiries, and proactive handling of challenging denials such as authorizations, Coordination of Benefits (COB), or non-covered services. Your billing partner should use your EMR software and clearinghouse to ensure you retain control over your claims history. Lastly, expect detailed monthly Accounts Receivable (AR) reports, consistent updates on claims submission and denials, and transparency about your average collection rate.

What’s the difference between credentialing and billing?

Credentialing involves the process of establishing your practice’s and providers’ qualifications with insurance payers, allowing you to be reimbursed for services. What payers are you familiar with?

Your billing company should be familiar with the payers in your state. At minimum, they should know how to credential with the payers, what modifiers they require for the services you provide, and what their most common denials are.

What is your turnaround time for emails? For phone calls?

It is important that your billing company communicates with you regularly and responds promptly. They should be able to answer any and all questions you may have about patient responsibility, invoices, denials, and missing or low insurance payments. If they don’t know the answer, they should be able to find it for you.

What Is the timeframe to get started?

Onboarding with Lotus Billing typically takes between 2 to 4 weeks. We streamline the setup process, promptly handling credentialing, EMR integration, and staff training, ensuring a smooth transition without disruptions to your daily operations.

How do you handle denied claims?

Your billing company should automatically follow up on and correct any denials with the insurance company. If they receive denials they can’t correct on their own (i.e. missing authorization, non-covered service or diagnosis, inactive or unverified patient insurance policy), they should be reaching out to you promptly to get the information they require to get the claim corrected as soon as possible.

Why is submitting claims properly so important?

Submitting clean claims in a timely manner will result in the most consistent cash flow for you. You will want to select a billing company that typically gets claims paid out the first time around and doesn’t need to consistently submit corrected claims due to errors.

Will you use my existing EMR software and clearinghouse to bill claims or will you use your own?

We are always willing to work with our clients and learn a new EMR. Also know that if you ever choose to end the relationship with your current billing company, you will still have access to your historical data for the claims they submitted. It will make it easier to transition to a new billing company because they can pick up where the old billing company left off.
